Funraise Events 101

Learn about Funraise Events and Ticketing features

Funraise Events can do a lot! This article provides an overview of Funraise's Event functionality and defines the key components. Links in this article provide access to specific workflows.

Event workflow overview

A natural way to learn about Funraise Events capability is by following the event timeline — before, during, and after. This article generally follows that flow.

Before your event

Create an event

To start, you'll need to create an Event. Everything about your event is will be managed from this event record.


Create tickets

Once your event is created you can begin creating tickets.

Ticket are highly configurable, allowing you to require specific contact info, set prices, and add custom questions (like meal preference or shirt size). You can also create event promo codes or ticket bundles.

Tickets are sold on Giving Forms, which means you can sell tickets on an embeddable form on your website, a standard Giving Page (the easiest method), or a Campaign Site form.

When Tickets are purchased, the purchaser will receive the Ticket confirmation email and a transaction receipt, if the purchase includes a transaction. The ticket confirmation email includes details about the event, a list of the tickets in the order, and QR codes for each ticket that can be scanned with Funraise's App.


Manage Attendees/Registrations

Once your guests begin purchase tickets, they will appear in your attendee list.

The attendee list is quite powerful. Here, you see all your guests and can click into any guest profile to review details or quickly make updates.

You can also be alerted when guests do not have important details on file, like contact information, ticket questions, and payment methods.

Of course, being alerted to missing guest info is just half the battle! Your attendee list also allows you to send smart emails to your guests to gather this missing information — guests will be able to click a link in the email to directly access their guest portal, where they can complete details for themselves or other members of their party.


Manage tables and seating assignments

Table management tools enable you to create your event seating chart.

You can click-and-drag individual guests or entire parties to tables. Table capacity alerts and filters provide helpful guidance so your can easily see what tables are open or overbooked. You'll even be alerted when you've seated guests from the same party at different tables.

When you're done with your seating chart, you can export a csv to share with your event team.


During your event

Getting your event set up and selling tickets is just the start! You'll also have powerful tools that enable seamless workflows during your event.

Funraise App & Volunteers

The Funraise mobile app is an incredibly handy event sidekick with tools for guest check in, capturing payment methods to store, running in-person payments, and paddle raise entries.

You can also create volunteer users that allow your volunteer event team to access the app without viewing sensitive donor details.


Guest Check in

During check in, you'll be able to:

  • Quickly search or scan a QR code to find a guest profile and check them in

  • Quickly see the guests table assignment, paddle number, contact details, and whether or not they have a saved payment method

  • Capture and store a payment method — capturing a payment method requires some setup and the Stripe Reader M2 device. (Apple native Tap-to-Pay is coming soon!)


Collect in-person payments with the app

Your event team can use the Funraise app to run live payments by tapping, swiping, or inserting a card. Running live payments with the app requires some setup and the Stripe Reader M2 device. (Apple native Tap-to-Pay is coming soon!)


Live Display

Live Display is designed to be used on the big screen at your event to broadcast event progress as donations and paddle raise pledge come in. You can customize your display brand and settings.


Auctions

Each event can include a digital silent auction. You can add auction items, track bids, charge winning bids, and much more.


Paddle Raise

Funraise Events provide a fully features, yet surprisingly simple-to-use Paddle Raise fund-a-need interface. You can create Giving Levels and record paddle raises in the desktop platform or via the Funraise app.

When a paddle raise is recorded, the pledge appears on your Live Display and a commitment is created behind the scenes allowing you to easily report on event pledges.


After your event

Paddle Raise Pledge Fulfillment

Paddle Raises during your event automatically create commitment records. You'll be able to view all commitments for the event from the event manager.

When a paddle raise is recorded and confirmed, you can optionally send an automatic email so the donor receives an email with a magic link to their donor portal where they can review and make a payment for their pledge.

Event Revenue Reporting

In Fundraising Intelligence, our advanced reporting module, you can create custom reports or dashboards that track all aspects of your event revenue performance including:

  • Ticket revenue

  • Auction revenue

  • Direct giving at the event

  • Remaining pledges

You can also report these details on an individual guest level. This data is certainly accessible without an Intelligence report, although viewing all this data in one place with custom reports is only possible in Intelligence.


Additional workflow tools

Although you can manage your event entirely from the event profile, you can also access, filter, and create list of related record types when needed. Related record types include:

Orders

An Order is a collection of Tickets that were sold together. For example: If Jane Doe purchases two Tickets, one for her and one for John Doe, the Order will include two Registrations (or two sold Tickets).

Order link a transaction to the ticket purchase and show any promo codes that were used with the order.

Orders are created automatically when a Ticket purchase is made online (on your Giving Form). You can also create offline Registration Orders (in the backend of Funraise).

Registrations

A Registration is a sold Ticket. Registrations represent guests at your Event. A Registration can include guest information and custom Question answers.

In most case, you will manage the registrations for your event from the event manager record, in the attendee list.

You can use the main registration list to send an email to your guests for a particular event.
