Event Attendees

Learn how to view and manage registrations and guests for an event

As your event guests begin buying tickets, you can view and manage your attendee list. The attendee list is quite powerful, enabling you to update attendee details, send emails to request missing information, and check in guests.

The primary functions of the event attendee list include:

  1. Viewing and exporting all event attendees

  2. Reviewing event attendee "check-in readiness", which includes identifying attendees missing any information based on your required information rules. Check-in readiness can include requiring:

    1. Name, email, phone

    2. Ticket questions

    3. Address

    4. Payment Method

  3. Collecting missing information by sending the missing information collection email


Navigating the Attendee list

You can view and manage all registrations for your event in the Attendee list.

Manage an individual registration

Clicking on an attendee row will display more information and configurations for the attendee including their linked supporter record, paddle number, table assignment, payment method, ticket details and more.

Supporter
This is the supporter that is linked to this registration.

👉 If an email address is provided during registration, a corresponding supporter record will be created or matched with an existing one.

When a supporter is linked, you'll be able to view and quickly edit supporter data that is helpful in the event context including:

  • Email, Phone, and communication opt-in

  • Payment methods on file

Checked-in status
Whether or not the guest attended the event.

Registrant Info

The registrant information fields are populated when a supporter purchases multiple tickets online and provides contact details for their guests (Tickets the purchaser did not claim for themselves).

When an email address is not provided for a registration, Funraise does not create or link a supporter record. You are able to create or link a supporter record — the registration info data can be used to search or help you create this supporter as needed.

This is the purchaser of the ticket.

Order

An order is a collection of tickets that were sold together. The order record has more helpful information including a view of all tickets in the order and any promo codes that were used with the order.

Export your attendee list

You can export the full or filtered attendee list by clicking the export icon. This will open the export configuration screen where you can configure your export details before exporting.


Collect missing guest information

A primary functionality of the Attendee list is to make sure you have all the required information for your guests so they are "check-in ready". You can take action when your guests are missing important information like contact info, address details, ticket questions, or payment methods.

This is a progressive information capture tool that allows you to collect information from your guests even if they did not provide this information during ticket checkout. There are both automated and manual methods to collect missing information.

Automated guest information collection

After tickets are purchased, the order purchaser will automatically receive the ticket order confirmation email. This email lists all the tickets in the order and provides a link where the purchaser can provide any missing guest information.

Clicking Complete your registration in this email will take the order purchaser to the guest portal where they can complete any missing info. The order purchaser can complete missing information for guests in their party or they can provide an email address for their guests and send the information collection email to their guests.

View guests with missing information

Click the Needs Info tab to see all the guests who are missing information.

Send an email to collect missing information

You can send an email to guests to collect missing information. You can send this email individually or you can send it to the entire list by clicking the Send email icon.

If a guest has an email address, they will receive the information collection email.

If a guest does not have an email address yet, the person who purchased their ticket (the order purchaser) will receive the information collection email and can choose to enter the information themselves or can provide an email address for the guest and forward the information collection request to that guest.

Configure required information details

You can configure the information you would like to require for guests to be "check-in ready" and edit the content of the information collection email that is sent to guests.

Click Configure required info

You'll land on the required information tab.

Here you can view and configure the information you'd like to collect for all guests.

  • Contact details like name, email, and phone will always be requied.

  • Questions added to a ticket will always be required.

  • Attendee address can be required

  • Payment method collection can be off, optional, or required.

Information collection email

To edit the content of the email sent to collect this missing information, click Request email. This email already has default content and does not require editing, but you are able to edit the message if you'd like.

Guest portal — Information collection form

Guests that are sent an information collection request can click a link to access the Funraise donor portal, where they can manage their registration details for upcoming events. Guests will not have to create an account or enter a password, they will land directly on the information collection screen.

For a registration where the guests email is known, the guest will be able to complete their missing information:

For the purchaser of multiple registrations, they will be able to enter the missing information for each guest in their order — or they can forward this step on to their guest by clicking Send to guest and entering their guest's email address:
